This user guide will help you become familiar with how to author events on the new platform.

Goals

  • Drive more usage of events publishing.
  • Make it easier for RMs and BDSs to author events.
  • Make it easier for members to consume events.
  • Raise awareness around RAS events by publishing them on the dashboard, with the aim to boost attendance.

Getting started

  1. Prepare your event. You will need a title, description, details and dates, an image is optional, but recommended.
  2. Sign-in to MMS.
  3. Navigate to events.

Create an event

  1. Navigate to create a new event.
  2. Add a title, this will be visible on the dashboard event posting.
  3. Add the event start date, this is required.
  4. Add the event end, this is not required but will be necessary for any event that spans more than one day.
  5. Add a description, this is required and will be the first sentence on the dashboard and on the events page.
  6. Add a location.
  7. Upload an image, if you would like.
  8. Add the details of the event. Use the formatting controls to make it look great.
  9. Select whether the event is national or not, this will add a national tag to the post.
  10. If the event is not national, select the appropriate region/s to which it applies.
  11.  Set can rsvp to true/false. This feature will allow members to click on an event and find an RSVP option located in a row at the top of the event's page.
  12. Set the post to publish if you are ready for it to go live. If you're not you can save it and come back to it later. Members won't see events that aren't published.
  13. Set the publish on and remove after dates, to control the period it is visible to members.
  14. Preview the event on the dashboard to ensure it looks correct.
  15. Preview the event using the view event details link on the index page.

After publishing an event, automatically notify all members and promote the event effectively to ensure maximum visibility and attendance.

Best practices and tips

  1. Keep your event title short but catchy.
  2. Format the event content using the editor to make it look great. Add headings, format lists and add links where possible.
  3. Add an image where you can to add interest.
  4. Try to use images within the suggested sizing, 1400px wide and 760px high. The image will be automatically resized on the fly to suit the device accessing the content.
  5. It is best practice to set the remove after date to be the day after the event to ensure old events aren't creating unnecessary noise.

How RSVP works

  1. Start by creating a new event , filling in details like title, date, time, location, and description and RSVP.
  2. "RSVP" option set to "True" or "False"
  3. Publish the event to make it visible to members on the RASConnect .

If RSVP is Enabled (True):

  1. Members browse the list of upcoming events.
  2. Events with RSVP enabled will show a clear "RSVP" button at the top of the events page.
  3. Members click the Mark as attending/ Mark as cancelled button.
  4. Members will see a highlighted my status confirming their RSVP status.

If RSVP is Enabled (False):

  1. Events with RSVP disabled will not display any RSVP button at the top of the events page.

Viewing Attendees and Cancelled Attendees (MMS Overview)

  1. Event author can access an overview page for each event.
  2. If RSVP was enabled, this overview page will display:
  • A list of attendees who have RSVP'd as "Attending," with a count of attendees.
  • A list of attendees who have RSVP'd as "Cancelled," with a count of cancelled attendees.

Workflow of event RSVP

RSVP as attending:

  • The member expresses their intent to attend the event by selecting a "mark as attending" on the RASconnect.
  • This action adds their name to the event's "Attendees List," a record of members who have confirmed their participation.

Cancel attendance

  • The member decides they can no longer attend the event and changes their RSVP status.
  • This involves selecting a "Mark as cancelled" option, which removes their name from the "Attendees List" and adds it to a "Cancelled Attendees List".

RSVP as attending (Again):

  • The member's plans change again, and they decide they can now attend the event. They repeat the RSVP process, selecting "mark as attending" and adding their name back to the "Attendees List."

How to download a list of attendees

  1. On the MMS list view, click the "Choose fields to export" action and select the "Attendees" field and any other field/s you want.
  2. Click "Export" button to download a list of attendees.
